Customer Care

In today’s online shopping market, we believe that honesty is the best policy. That’s why we designed the most generous, fair and transparent store policy for our customers. Read the following sections to find out more about how we ship or exchange products, or about how we secure your personal data. Please don’t hesitate to contact us if you have any questions!

Privacy & Safety

The Supplier may collect personal details in accordance with the UK Data Protection Act 2018, the specifics of which are detailed below for your information:

The Supplier may request and store certain personal details such as full names, contact numbers, email addresses, shipping addresses etc. (hereinafter referred to as "Data") by verbal or electronic means. The Supplier may also include the use of software tools and cookies to measure and collect session information, including page response times, length of visits to certain pages, page interaction information and methods used to browse away from a page.

 

The Supplier collects this Data for the following reasons:

1. To provide and improve the Services being delivered to the Customer.

2. To provide the Customer with product support and technical information.

3. To comply with any applicable laws and regulations.

 

The Website is hosted on the Wix.com platform. Wix.com provides an online platform that allows the Supplier to market and sell products and services to the Customer. Data may be stored through Wix.com’s data storage policies, databases and general Wix.com applications. The payment gateway offered by the Supplier on the Website is Stripe. Stripe adheres to the standards set by PCI-DSS as managed by the PCI Security Standards Council and is `Service Provider Level 1, the highest level attainable. PCI-DSS requirements help ensure the secure handling of Data through the e-commerce section of the Website. The Data is stored on secure servers behind a firewall. Any Data collected by the Supplier, will at all times be stored on encrypted hard drives or servers and is kept for 10 years, after which it is permanently erased. No automated decisions or profiling will be conducted using the Data obtained.

Data is only shared with third parties (eg. when shipping products) if they share the same level of personal data protection. Data will not be transferred abroad unless to allow a product to be delivered to the Customer in a country other than the United Kingdom.

The Supplier reserves the right to contact the Customer for reasons that it deems reasonable. This may include but is not limited to order information, updated safety information, risk mitigation, product recall etc. If at any stage the Customer would like to exercise their rights regarding GDPR they may do so by contacting the supplier directly

​Terms & Conditions Addendum: Bespoke Wedding & Event Floristry

1. Our Working Philosophy (The Human Element)

Planning a wedding is a major milestone, and we approach every booking with absolute good faith, excitement, and a collaborative spirit. We are all human, things change, and we will always work with you to find solutions. In return, we ask for open communication, mutual respect, and realistic expectations regarding natural, seasonal elements.

2. Booking, Exclusivity, and Consultation Process

  • 2.1 The Booking Retainer: To secure your wedding date in Carly’s diary, a non-refundable booking fee of £100 [or your standard amount] is required. This fee covers initial administration, saves your date, and means we turn away other couples for that day.

  • 2.2 Exclusivity of Floristry: To maintain design integrity, brand aesthetic, and safety, Hummingbird Meadow & Design must be the exclusive floral provider for your event. You agree not to hire another florist, source separate fresh flowers, or introduce faux/artificial flowers into the venue styling without Carly’s prior written consent.

  • 2.3 Initial Design Consultation: We provide one (1) initial consultation (either online or in person) to discuss your vision, themes, and color palettes, which we will use to build your first floral design draft and quote.

  • 2.4 Final Details Consultation: Approximately four to six (4–6) weeks prior to your wedding, we will host a final consultation to lock in your exact flower counts and design details. Client Tip: Please keep a running note of your ideas, questions, and guest count changes as your planning progresses so we can efficiently review everything at this final meeting.

3. Final Invoicing and Payment Terms

  • 3.1 Final Balance Due: Your final invoice will be calculated and presented immediately following your final details consultation.

  • 3.2 Strict Payment Window: You have exactly two (2) weeks from the invoice date to clear the final balance. Hummingbird Meadow & Design cannot order flower stock from our growers until payment is cleared. Failure to pay within this two-week window may result in the cancellation of your services and forfeiture of your deposit.

4. Natural Products, Seasonality, and Substitutions

  • 4.1 Nature is Unpredictable: Carly will always endeavour to provide the exact flower varieties and colours you requested. However, because we prioritise local growing seasons and rely on global supply chains, exact stem availability can never be 100% guaranteed.

​

  • 4.2 The Substitution Rule: If a specific flower is unavailable or fails our quality checks, Carly reserves the right to substitute it with an alternative bloom of equal or greater value that aligns with your overall colour palette and design integrity.

5. Pinterest vs. Bespoke Reality

  • 5.1 Inspiration Only: Pinterest, Instagram, and bridal magazines are wonderful tools for identifying an overall "vibe" or color story. However, digital images frequently feature artificial lighting, heavy filters, or imported, out-of-season flowers that are structurally unviable in real life.

  • 5.2 Your Tailored Look: Carly does not create direct copies of other designers' internet photos. Your final florals will not be a replica of a Pinterest board; instead, they will be a bespoke creation tailored specifically to our personal consultations, your venue, and the best available seasonal blooms.

6. Venue & Floor Installations ("Wedding Floors")

  • 6.1 Safety Liabilities: Ground-level floral installations, aisle nests, and floor meadows create beautiful, organic focal points but can present a trip hazard. Once installation is complete, Hummingbird Meadow & Design accepts no liability for accidental slips, trips, or falls. It is the Client's responsibility to ensure guests respect the boundaries of floor displays.

  • 6.2 Watertight Mechanics: We practice sustainable, foam-free floristry. While every professional precaution is taken to ensure all floor-based vessels, trays, and structures are entirely watertight, we cannot be held responsible for water markings or surface damage caused to the venue's flooring during the event.

​

7. Wearable Floristry ("Wearing Flowers")

  • 7.1 Perishability: Items worn on the body (buttonholes, corsages, hair pieces) lack a continuous water source and are subjected to body heat and movement. They are highly delicate. We accept no responsibility for premature wilting or bruising once they have been safely delivered.

​

  • 7.2 Fastenings and Medical Safety: Wearable items may use pins or strong magnets.

    • Pins can snag or pierce delicate wedding attire fabrics; we accept no liability for clothing damage.

    • Crucial Health Warning: If magnetic attachments are used, the Client assumes full responsibility for ensuring no recipient wears a magnet near a pacemaker, defibrillator, or other interactive medical device. Traditional pins can be substituted upon request.

8. Mutual Respect, Conduct, and Accountable Communication

  • 8.1 Professional Boundaries: Wedding planning can be incredibly stressful, and we understand that emotions run high. However, we maintain a zero-tolerance policy for hostile, aggressive, abusive, or manipulative communication.

  • 8.2 Objective Standards: Standard business contract terms—including deadlines, non-refundable retainers, and cancellation policies—apply universally to all clients. Personal, mental health, or emotional difficulties experienced by either party during the planning process do not invalidate this contract or waive financial obligations. We commit to treating you with kindness, professionalism, and empathy, and we require the same professional courtesy in return.

9. Cancellations, Postponements, and Force Majeure

  • 9.1 Client Cancellation: Cancellations must be made in writing. If you cancel your wedding, your initial booking retainer is strictly non-refundable. Cancellations made within thirty (30) days of the event require 100% payment of the final balance.

  • 9.2 Postponements: If you must change your date, we will attempt to transfer your booking retainer to the new date, subject to Carly's calendar availability. Date shifts to a different season may require an updated quote due to changing flower availability.

​

  • 9.3 Vendor Frustration (Force Majeure): In the extreme event of severe illness, family emergency, or acts of God preventing Carly from styling your wedding, Hummingbird Meadow & Design will make every effort to pass your design briefs to a trusted surrogate florist. If no replacement can be found, our liability is strictly limited to a full refund of monies paid.

10. Jurisdiction

  • This contract is governed by and construed in accordance with the laws of Northern Ireland. Any legal disputes shall be subject to the exclusive jurisdiction of the courts of Northern Ireland.
